Soft Coated Wheaten Terrier Society of NSW Draft Web Site Policy

Purpose

The purpose of the SCWTS NSW web site is to provide information that will improve the well-being of Wheatens and their owners.

Aims

Inform current and potential Wheaten owners and other interested people about the benefits and issues of the breed.

Promote positive social interaction of Society members.

Access

Policy

The web site will be available to all members of the public through the Internet. Information that should not be released into the public domain is not to be put on the web site.

The Web Site Manager will arrange access to allow management of the web site content.

The Web Site Manager shall take reasonable measures to ensure that the web site integrity and availability is maintained.

The Web Site Manager shall take reasonable measures to ensure that the committee is able to transfer management of the site to a new Web Site Manager that is duly authorised by the committee.

Procedures

The Web Site Manager will investigate service requirements and propose services to be used to the committee for approval.

All services, particularly domain names and addresses, are to be registered in the name of the society.

Copies of all service agreements and registration papers are to be provided to the Secretary.

Digital copies of web site data are to be provided to the Secretary for the purposes of recovery or transfer.

The Web Site manager will arrange for access codes (including usernames, passwords and other codes) required to manage the web site to be made available to the Secretary. In order to maintain security this information should not be transmitted electronically. To ensure accountability of the Web Site Manager for web content, access codes provided to the Secretary should be delivered and maintained under seal.

Approval

Policy

All content that is loaded on the web site will be approved by the SCWTS NSW committee for a specified period.

Procedures

All content that is proposed to be loaded onto the site is to be provided to the Web Site Manager. The Web Site Manager will provide a copy of the proposed content and a recommendation on the suitability of the content and duration to committee members. The committee will respond to the Web Site Manager with its approval or disapproval of the content and specify the duration of the approval. Where content is not approved a reason is to be provided. The Web Site Manager will notify the proposer of the acceptance or rejection of the proposed content for the web site, and the duration of the approval.

Once content is approved the Web Site Manager will format the content prior to loading onto the web site. Content format will not require any further approval.

Content is to be loaded onto the web site within one month of approval, or as otherwise agreed by the committee.

The Web Site Manager will notify all committee members when new content is added to the site.

The Web Site Manager will notify the committee one month prior to the expiry of the approved duration of content.

The Web Site Manager will remove expired content within one month of the date of expiry of the approval.

Privacy

Policy

The Society respects any persons desire to protect their public image.

The Society will comply with all applicable legislative requirements for the protection of personal information.

The Society will not publish information that specifically identifies individuals, unless such information is already a matter of public record or the individual formally agrees to such publication.

The Society will not publish images of individuals that are taken in privacy without their explicit consent.

The Society may publish images of persons taken at public events, but will take reasonable steps to limit such publication to persons that consent to the publication of their image.

The Society will remove from publication any personally identifying information or recognisable personal images at the request of the individual.

Procedures

Society membership forms are to request members to consent or object to the publication of their names and their image.

The Secretary is to maintain lists of persons that have consented and objected to the publication of their name or image. The Secretary will provide an updated list to the Web Site Manager each time it is changed.

The Web Site Manager is to check proposed web site content against the lists when considering the recommendation to the committee.

The Web Site Manager may modify content to suppress the identification of an individual before proposing the content to the Committee. Such modification may include the removal of names or personally identifying information and replacing it with neutral descriptions or pronouns, or blurring parts of images to conceal identifying features.

The Web Site Manager and Committee will ensure that the privacy policy is clearly advertised on the web site.

The Web Site Manager and Committee will ensure that the web site provides contact information that enables any individual to request the removal of private from the web site.

Advertising

Policy

The Society will / will not allow content that advertises commercial products.

The Society will / will not allow content that references (links to) sites that advertise commercial products.

The Society will / will not allow content that advertises general commercial services.

The Society will / will not allow content that advertises commercial services provided by Society sponsors.

The Society will / will not allow content that advertises commercial services provided by members.

The Society will only allow content that advertises services for organisations that have agreed to and signed the Society’s Code of Conduct.

The Society will not allow content that advertises or links to advertisements for services or products provided by individuals or organisations that have breached the Society’s Code of Conduct.

Procedures

The Web Site Manager will check all links in proposed web site content to see if it complies with the policy at the time of submission and to advise the Committee.

The Web Site Manager should regularly check, at their convenience, that content continues to comply with policy.

Any other notifications of breaches of advertising policy will be dealt with in accordance with the Complaints policy.

Responsibility

Policy

The Society is not a professional organisation and although it seeks to provide relevant information, it does so on the basis of providing the personal knowledge and experience of its members and not as professional advice.

The Society recognises that as a formally constituted body the public may perceive site content as formal advice. Whilst the Society will seek to provide the best information available it must clearly indicate the quality of information to all users.

The Society must take adequate measures to protect itself from potential claims os wrongful advice.

Procedures

The Web Site Manager and Committee will ensure that a legal disclaimer is clearly advertised on the web site.

The Committee will develop a web site legal disclaimer which adequately describes the quality of information provided to the public and addresses potential liability issues.

Complaints

Policy

The Society will be responsive to public concern about the content of its web site.

The Web Site Manager will have the authority to remove offensive content within legislative requirements and in accordance with the Society’s policies.

Procedures

The Web Site Manager may remove content from the web site upon receiving a complaint, or upon their own discretion, if they consider that the content is in breach of any legislative requirement or of the Society’s policies or ethics. Where content is removed without prior consideration by the Committee, the Web Site Manager will immediately inform the Committee of all changes to site content.

All complaints received by any member of the Committee will be forwarded at the earliest opportunity to the full Committee for their consideration and action. The member receiving the complaint is responsible for replying to the complainant at the earliest opportunity that their complaint has been received and will be considered by the Committee.

After consideration by the Committee the Secretary will formally respond to the complainant advising of any decisions of the Committee in respect of their specific complaint.
